As the business expanded, hidden friction had begun to emerge across systems, communication, marketing, sales visibility, workflows, technology, external partnerships, accountability and client experience.

Teams were working hard, but not always in alignment. Systems existed, but were not always connected. Opportunities were being created, but visibility and follow-through were inconsistent.
Technology and service partners had not been stress-tested to ensure they remained accountable, strategically aligned and capable of supporting the next stage of growth.

Listening Before Leading

Before recommending solutions, we listened.

Across leadership, teams, external partners and clients to understand the systems, workflows and operations. We worked to discover how the business was actually functioning day-to-day.

This process uncovered several recurring friction points:

Creating A Shared Understanding

Once the hidden friction had been revealed, the next step was creating a shared understanding of what needed to change and where the greatest opportunities existed.

As part of this process, we developed and embedded the LIFT framework:

At the same time, broader operational insights began to emerge. Existing technology platforms and service providers were stress tested to determine whether they remained the right fit for the business. Disconnected systems, limited visibility, repetitive manual tasks and opportunities for automation were identified, creating a clear roadmap for improving productivity, accountability and future scalability.

The objective was to create a shared operating framework that connected strategy, culture, technology and execution, ensuring every improvement worked together to support sustainable growth.

Building Better Visibility and Accountability

With a clear understanding of where friction existed and what mattered most, the focus shifted from diagnosis to redesigning how the business operated.

Rather than implementing isolated improvements, the objective was to create an operating environment where people, systems, technology and external partners worked together more effectively to improve visibility, strengthening accountability and creating a more consistent way of working across the business.

360° feedback was introduced to capture both employee and client insights, creating continuous feedback loops that informed recognition, service delivery and operational improvement.

Technology & Partner Alignment

Business systems, software and technology platforms and external partners were stress tessted to ensure they were fit for purpose, strategically aligned and capable of supporting future growth. Existing relationships were challenged where they no longer delivered the capability, transparency or value the business required.

Workflow Optimisation & Automation

Disconnected processes and repetitive manual tasks were identified, streamlined and where appropriate, automated to improve productivity, reduce operational drag and unlock greater capacity for high-value work.

Commercial Visibility

Sales processes, marketing performance and business reporting were strengthened to improve pipeline visibility, conversion tracking, follow-up discipline, on-time and on-budget project delivery, and commercial decision-making.

Cross Functional Collaboration

New ways of working encouraged stronger collaboration between leadership, technical teams, external partners, marketing and client-facing functions and improving alignment across the entire client journey.

Working alongside J&M Marketing, a coordinated commercial programme was developed to strengthen GWE's market position, improve visibility, create a more client-centric experience and support sustainable business growth.

Measurable Results in 3 months

  • More than 9,000 website sessions and 6,400 new users

  • Paid campaign click-through rates increased steadily, reaching 7.97%

  • Top-performing service campaigns generated 768 highly targeted clicks

  • Organic search became a major source of website traffic, reducing reliance on paid advertising

  • LinkedIn engagement rates reached as high as 41.7%

  • Improved website engagement with stronger page movement and content consumption

  • 71 inbound opportunities generated with an identified pipeline value of approximately $170,000

AI & Automation

Automation was not approached as a technology project, it was approached as a productivity and capacity initiative.

Before introducing AI, we first understood how work was actually being done. Existing workflows were reviewed, repetitive tasks identified and opportunities prioritised to ensure automation simplified work rather than adding complexity.

Working alongside AI New Zealand, we designed and implemented AI-assisted workflows that removed repetitive administrative tasks, improved consistency and unlocked greater technical capacity.Key initiatives included:

Technical Report Review

  • Reduced review time from approximately 4 hours to 1.5 hours

  • Estimated annual productivity value: $65,000

Producer Statement Summary Agent

  • Reduced reporting time from approximately 3 hours to less than 10 minutes

  • Estimated annual productivity value: $156,000

Geology Summary Agent

  • Reduced reporting time from approximately 30 minutes to less than 10 minutes

  • Estimated annual productivity value: $39,000

Combined, these initiatives unlocked approximately:

  • 20 hours per week in productivity gains

  • More than $260,000 in annualised capacity value
